Executive Assistant to the Superintendent, Central Office and the Board of Education

QUALIFICATIONS
● Associate’s Degree (Bachelor’s Degree preferred) and previous executive secretary experience or combination of education and experience. ● Proficient and demonstrated knowledge and skills in all Microsoft Office products and applications (Excel,Word, etc) required.
● Proficient in Google Suite products required
● Demonstrated organizational and accurate record keeping skills required
● Demonstrated ability to handle multiple tasks, meet deadlines, manage multiple calendars and maintain confidential information while projecting a professional business image.
● Excellent oral and written communication skills along with math skills.
● Proven ability to establish and maintain good relations with all members of the organization.
● Satisfactory work and attendance records.
● Demonstrate an ability and willingness to learn new systems
● Preference may be given to those with additional training or experience in district supported software.
● Ability to learn, understand and apply Board policies.
● Other duties as assigned as appropriate to the position.

RESPONSIBILITIES & DUTIES
● Supports the Superintendent and Board of Education for all administrative tasks related to the efficient operation of the Office of the Superintendent.
● Gives public notice and attends all regular meetings of the Board.
● Provide administrative support to the Board of Education including preparation of meeting agenda; preparation / assembly of required materials; keeps full and accurate minutes of all regular meetings of the Board and files appropriately; maintenance of official meeting schedules; posting of special meetings; preparation of records; processing reimbursement of business expenses; and coordinating of elections ● Prepare a wide variety of reports, documents, and correspondence of a confidential and non-confidential nature.
● Assists Board of Education members with clerical tasks
● Prepares all Board Policy Book and Administrative Procedures Handbook revisions
● Maintains the Registry of Educational Personnel (REP) and adheres to all compliance mandates associated with the REP system
● Process all district Internet Criminal History Access Tool (iCHAT) forms
● Process and access the Criminal History Records Internet Subscription Service (CHRISS) Fingerprint system
● Responds to a wide variety of calls, concerns and / or complaints for the purpose of resolving problems, providing information, and / or referring to appropriate personnel
● Creates and maintains various databases and reports using various technologies
● Takes and transcribes dictation of various types, including correspondence, reports, notices, and recommendations
● Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form
● Serves as FOIA Coordinator
● Effectively coordinate and manage projects as assigned by the Superintendent and the Board
● Maintains a regular filing system, as well as confidential files, and processes incoming correspondence
● Support the Superintendent and the Board of Education for the purpose of providing assistance with their functions and responsibilities
● Orders and maintains supplies as needed
● Performs any bookkeeping tasks associated with the specific position
● Maintains a schedule of appointments and makes arrangements for conferences and interviews
● Performs the usual office routines and practices associated with a busy yet productive and efficient office
● Prepares administrative and supervisory contracts of employment
● Perform such other related duties as may be assigned by the Superintendent 

EVALUATION:
Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation and contract language covering support services personnel.
